How the Consultation Fee Works
The fee covers the initial consultation, detailed request review, feasibility checks, service research, and quotation preparation.
Paid Before Detailed Review
After the initial request is received, the fee is required before detailed review and quotation work begins.
Credited When You Book
If you confirm the proposed booking, the full ¥2,500 is deducted from the final tour price.
Non-Refundable Otherwise
If you decide not to proceed, the fee is not refunded because the consultation and quotation work has already been completed.

What can be included in a custom Multi-Day Tour request?
When should I use Multi-Day Planning instead of a Single-Day Tour request?
How does the ¥2,500 consultation fee work?
The ¥2,500 consultation fee is required before we begin reviewing and developing a custom Multi-Day Tour proposal.
The consultation includes:
- Review of your travel requirements, preferences, and budget
- Initial feasibility assessment
- Preliminary recommendations for routes, destinations, and proposed services
- Estimated tour cost and quotation
The consultation does not include:
- A detailed day-by-day itinerary
- Specific hotel selections and room arrangements
- Detailed sightseeing and activity scheduling
- Confirmed supplier bookings or final arrangements
These detailed arrangements proceed after the proposed tour and required payment have been confirmed.
If you confirm the proposed booking, the full ¥2,500 consultation fee is credited toward your final tour price. If you decide not to proceed, the consultation fee is non-refundable.
Do I need to pay the consultation fee if an existing tour already fits my trip?
Can hotels, Shinkansen travel, and private vehicles be included?
Yes, depending on the scope of your confirmed Multi-Day Tour booking.
Shinkansen and accommodation coordination are available as add-ons when your booking includes either:
- 4 or more custom city tours, each at least 4 hours; or
- A total package value of ¥400,000 or more.
Exact travel dates must be confirmed before Shinkansen and accommodation pricing can be included in the quotation.
Private vehicles may also be arranged as part of a Multi-Day Tour where appropriate. Availability and arrangements are reviewed based on your route, dates, group requirements, and local transportation availability.
All requested services remain subject to feasibility, availability, and final confirmation by Japan Awaits.
What is Tour Coordinator support?
Tour Coordinator support is available for qualifying Multi-Day Tour bookings that include at least 3 custom city tours and meet the applicable minimum booking-value requirement for the group size.
The Tour Coordinator helps connect the operational side of your confirmed arrangements. This may include communication with relevant guides and providers, tracking operational handoffs, and supporting practical responses when an issue affects a confirmed service.
Can travel agents submit Multi-Day Tour requests for their clients?
Yes. Travel agents and travel advisors may submit custom Multi-Day Tour requests on behalf of their clients through our standard consultation and quotation process.
Travel agencies expecting regular Japan business may also apply to join the Japan Awaits Travel Agency Partnership Program. For approved Travel Agency Partners, the ¥2,500 consultation fee may be waived for qualifying Multi-Day Tour requests. Approved partners can also receive quotations within 24 hours for complete requests received Monday–Friday, 9:30 AM–5:30 PM Japan Time. Requests received outside these hours, or requests requiring additional information, may take longer.
